The problem

Stop managing rentals across spreadsheets, texts, emails, and folders.

Everything about a tenancy already exists somewhere. Rental Tracker puts it in one place, where it stays put.

How it works

Three steps to in-order

Add your property

Create the property, units, rent rules, and lease details.

Invite your tenants

Tenants receive free portal access in English or Spanish.

Manage everything in one place

Track rent, maintenance, documents, messages, and signatures.

What it does

The whole job, not half of it

From the first application to the final move-out, every step lives in the same system.

Online rent collection

Monthly charges post automatically; tenants pay by card; late fees apply on their own schedule.

Double-entry accounting

Every payment posts debit-and-credit to a real ledger — owner statements, rent roll, and delinquency reports included.

Maintenance & vendors

Tenants report issues; you assign vendors and track every ticket through a status workflow with a full timeline.

Messaging

Property-scoped conversations that keep landlords, tenants, and vendors on the record.

Documents

Upload, store, and share files on any lease or application — everything filed where it belongs.

E-signatures

Place fields on the lease PDF and collect click-to-sign signatures with signer, time, and address recorded.

Roles & shared access

Invite managers per property — owner, manager, tenant, vendor each see exactly what their role allows.

Notifications & reminders

Rent reminders, overdue alerts, and activity — in-app and by email.

English and Spanish

Clear for landlords. Comfortable for tenants. English and Spanish.

Landlords and tenants can use Rental Tracker in their preferred language, helping reduce confusion around payments, maintenance, documents, and communication.

English

The tenant portal in English, showing the rent balance due and a maintenance request.

Español

The same tenant portal in Spanish, showing the same rent balance and maintenance request.

Every person picks their own language. Nobody has to read a lease, a balance, or a repair update in a language they are guessing at.

Pricing

Start free. Grow when you do.

Your first unit costs nothing, and your tenants never pay a cent — however many of them there are.

Start

  • First unit free
  • Second unit $5/month
  • Maximum 2 units

Pay $100/year for Grow and receive two months free. Tenants are always free.

Why we built it

Made for the landlord with keys on their belt

Most rental software is built for companies with a thousand doors and a back office. Rental Tracker is built for the other landlords — the ones with a handful of units, tenants they know by name, and books they keep themselves.

That is why it does the whole job in one place — rent, leases, repairs, messages, and real double-entry books — and why it ships in English and Spanish, because that is what buildings actually sound like.

Questions

Fair questions, straight answers

Is the first unit really free?

Yes. One rentable unit is free for as long as you want it — there is no trial to expire and no card to enter. A single-family home is one unit, so it stays free.

What happens when I add a second unit?

Your account becomes $5 a month in total — not $5 per unit. You are told the price and asked to confirm before the second unit is created, so a duplex is $5 a month altogether.

What happens when I add a third unit?

Start holds a maximum of two units, so a third needs Grow at $10 a month or $100 a year, which covers unlimited units — a duplex fits on Start, a triplex needs Grow. Nothing you already entered is lost when you upgrade.

Are tenants charged a subscription?

No. Tenants and vendors use Rental Tracker free, always — the portal, maintenance, messages, and documents included.

Are there payment-processing fees?

Subscription prices exclude payment-processing, tenant-screening, and optional third-party service fees. Any applicable fee, and who pays it, is shown before the transaction is authorized.

Can tenants use Rental Tracker in Spanish?

Yes. The entire product ships in English and Spanish, and every person chooses their own — your tenant can read their lease in Spanish while you work in English.

Can I cancel anytime?

Yes. Cancellation takes effect at the end of the period you have already paid for, and then you drop back to the free plan rather than being locked out.

What happens to my data if I downgrade?

Nothing is deleted. Features that belong to Grow stop being available, but the records behind them — documents, messages, maintenance history — stay in your account and come back if you upgrade again.

Are electronic signatures included?

Electronic signatures are part of Grow. Every signature records who signed, when, and from where, attached permanently to the document on the lease.

Is Rental Tracker a property-management company?

No. Rental Tracker is software you use to manage your own rentals. We are not a property manager, broker, or landlord, and we do not give legal, tax, or financial advice.
